How to collect and manage Liquor License data from various Customs and Excise offices in a unified manner?
Customs and Excise Division is looking for a digital solution for management of Liquor License data from the various Customs and Excise offices (Port of Spain, San Fernando and Tobago) in a unified manner, to improve data accuracy, accessibility and security.
Currently, various Customs and Excise offices (Port of Spain, San Fernando and Tobago) store their Liquor Licence data independently in the form of manual Registers, Excel spread sheets and Access databases.
The data stored in separate locations is not accessible at other offices, e.g. data stored on the excel sheet at the South Office is not stored on the access database in the North office. If data is required from other office, a written request, e-mail or phone call must be made by the officer and it can take approximately up to two weeks to get the required data.
Thus, Customs and Excise personnel are faced with the challenge of keeping a comprehensive track of Liquor License data. Information gathering from different office locations and sources such as manual Registers, Excel spreadsheets and Access databases are time consuming and difficult and make data accuracy and reporting problematic.
Customs and Excise Division is looking for a digital solution for management of Liquor License data from the various Customs and Excise offices (Port of Spain, San Fernando and Tobago) in a unified manner, to improve data accuracy, accessibility and security.
The digital solution should enable to collect and manage Liquor Licence data in a unified and secure manner, making up-to-date data instantly accessible to all authorised employees of CED working in different offices.
As well, the digital solution should enable to efficiently generate up-to-date reports based on Liquor licence data.
Such digital solution would allow the Customs and Excise Division to make more informed decisions with regards to data on New Licenses, Renewal of Licenses, Transfers of Licenses, Breaches of Licenses, Liquor Licenses Payments and Entry of Premises visits.
Introduction of such digital solution would result in a more efficient use of staff time and less duplication of effort as information would be sourced from a unified source.
As well, this digital tool would enable better service delivery to external stakeholders, both members of the public who need to acquire a liquor license or renew their license, and other institutions which require access to liquor licence data.
Liquor License data refers to information on the licensee (e.g. Name, Business Address), Licence Type, Issue Date, Expiry Date, Payment Date, Payment Amount, Entry of Premise (EoP) Date, Visiting Officer, Officer’s Comments.
Digital solution should enable to import data from the currently used different Liquor Licence data sources (manual Registers, Excel spread sheets and Access databases).
